As our Dental Office Manager, you’ll play a key role in ensuring the smooth operation of our office, overseeing daily activities, managing patient and employee relations, driving marketing efforts, and supporting our Regional Manager in achieving exceptional results. Your Role:

As the Dental Office Manager, you will be a key player in our success. Your primary responsibilities will include overseeing the daily operations of the office, managing patient relations, and supporting staff to create a seamless patient experience. You’ll also ensure the office runs smoothly by handling tasks like insurance claims, scheduling, and compliance with dental regulations.

Specific Duties:

  • Oversee the day-to-day operations of the dental office, ensuring everything runs efficiently.
     
  • Collaborate with staff to assign tasks and manage activities in accordance with office policies and regulations.
     
  • Ensure compliance with OSHA, state, and federal regulations, and stay up-to-date on industry trends.
     
  • Manage and optimize office computer systems to improve patient management and office efficiency.
     
  • Act as a liaison between the practice and patients, handling patient complaints and explaining office policies as needed.
     
  • Monitor and improve patient satisfaction through regular feedback surveys.
     
  • Assist with insurance claims, scheduling, collections, and other administrative duties as required.

Requirements

 

Ideal Candidate:

  • You are a people-driven leader with a passion for delivering exceptional patient experiences.
     
  • You have 2+ years of dental front office leadership experience (preferred), with a working knowledge of insurance claims, scheduling, and dental office operations.
     
  • You excel at communication and are adept at managing patient relationships and resolving issues with professionalism and care.
     
  • You’re tech-savvy with experience in office management systems (Denticon is a plus) and proficient in word processing and records management.
     
  • You’re a team player, always ready to step in where needed and support your colleagues

Qualifications

  • Proven experience as an Office Manager or in a similar managerial role in a dental or healthcare setting.

  • Strong leadership, communication, and organizational skills.

  • Ability to manage budgets, analyze financial reports, and track key performance metrics.

  • Proficiency in office management software, including practice management systems, Excel, and Word.

  • Ability to handle patient concerns and inquiries professionally and efficiently.

  • Knowledge of dental office procedures and the ability to understand and apply financial and legal documents.

 

Supervisory Responsibility

Leading a general dentist location, including General Dentist, Dental Hygiensist, Dental Assistants, and Dental Front Office Staff. 

Work Environment

This role is based in a professional office environment, utilizing standard office equipment such as computers, phones, and photocopiers.

Physical Demands

  • The position may require occasional lifting of office supplies up to 20 pounds.

  • Must be able to stand, walk, and perform tasks that require manual dexterity throughout the workday.

 

Education and Experience

  • A college degree in business or a related field is preferred, along with at least one year of business or managerial experience.

  • An equivalent combination of education, training, and experience will be considered.
