The Dental Office Manager will be responsible for creating and maintaining a profitable and efficient office environment. This includes overseeing day-to-day operations, developing staff, ensuring exceptional patient care, and driving business growth. Core Responsibilities:
Oversee and optimize all front desk operations to ensure a smooth, welcoming, and professional patient experience.
Manage patient scheduling, including complex multi-step treatment plans for All-on-4 and implant cases.
Supervise check-in/check-out processes, ensuring accuracy in documentation, consent forms, and pre/post-op instructions.
Monitor and maintain HIPAA compliance at all patient interaction points.
Work closely with treatment coordinators to ensure timely patient education, case presentation, and financial discussions.
Track and follow up on large or staged treatment cases (e.g., surgical to restorative transition).
Help coordinate lab communication for prosthetics and ensure accurate records, shade matching, and delivery timelines.
Oversee billing processes and ensure accuracy of claims submission for high-value procedures (implants, prosthetics).
Review and manage treatment estimates, pre-authorizations, and patient financing options (e.g., CareCredit, LendingClub).
Maintain and analyze production and collection reports; optimize insurance utilization without compromising clinical standards.
Handle complex insurance coding related to implant and prosthetic cases.
Recruit, onboard, and train front office and administrative staff.
Conduct regular team meetings and performance reviews; promote continuing education and cross-training.
Enforce clinic policies, professional appearance standards, and patient service protocols.
Foster a culture of excellence, empathy, and accountability.
Oversee scheduling and maintenance of advanced technology (e.g., CBCT scanner, 3D printers, CAD/CAM systems).
Coordinate with clinical staff to ensure seamless integration of digital workflows for implant planning and prosthetic design.
Support documentation for surgical guides, digital impressions, and implant tracking systems.
Manage relationships with dental labs specializing in implant and prosthetic work; ensure timely communication and quality control.
Oversee ordering and inventory of surgical kits, implant components, prosthetic parts, and digital materials.
Collaborate with the clinical director or lead dentist to evaluate and streamline vendor partnerships.
Ensure compliance with OSHA, CDC, and state board regulations.
Coordinate credentialing and continuing education tracking for all providers.
Implement quality assurance protocols to monitor treatment outcomes and patient satisfaction for implant and All-on-4 procedures.
Collaborate on internal and external marketing campaigns focused on implants, All-on-4, and advanced prosthetics.
Monitor and respond to patient reviews, inquiries, and social media feedback.
Track referral patterns and support professional relationship-building with specialists or GP offices.
This role is based in a professional office environment, utilizing standard office equipment such as computers, phones, and photocopiers.
The position may require occasional lifting of office supplies up to 20 pounds.
Must be able to stand, walk, and perform tasks that require manual dexterity throughout the workday.
A college degree in business or a related field is preferred, along with at least one year of business or managerial experience.
An equivalent combination of education, training, and experience will be considered.
